HOLIDAY COTTAGE BOOKING CONFIRMATION & OUR TERMS
Property Name: Fawcett Mill, Gaisgill, Orton Cumbria CA10 3UB
1. WHAT YOUR BOOKING AND RENTAL PAYMENT COVERS.
1.1 It covers your party’s exclusive use of Fawcett Mill , and its immediate grounds, as a self catering holiday cottage venue for a maximum of 20 persons, from 3pm on the starting day of the rental to 10am of the morning after the last night of the rental, including the use of all furnishings, furniture, kitchen equipment and heating and lighting. The property has gas central heating from an external LPG gas tank, mains electricity, public supply water and the costs of reasonable gas, electricity & water usage are included in the rental. Additionally, the property has 2 log burning range/ stoves, more for atmosphere than for heat, for which fuel is the responsibility of the booking party [There are local sources]
1.2 Prior to your arrival, you will have been advised the location of the front door key; the property will have been cleaned from the previous let and all permanent beds will have been made up. If additional bedding for the two double sofa beds is required, this will have been left out, but the sofa beds will not be made up.
1.3 As soon as we have received your deposit for a booking, the property is removed from the availability calendar for the period you have booked from the many Internet sites on which we advertise, and shown as unavailable.
2. WHEN THE RENTAL PAYMENT IS DUE.
2.1 We ask for a deposit of 20% of the total rental cost to secure the booking and the balance 8 weeks prior to the booking, along with a £150 security deposit.
A receipted invoice and this booking confirmation will be posted on receipt of deposit along with an invoice for the balance showing the due by date of the balance. It will be assumed that if we do not hear from you to the contrary within 10 days of the date of the booking confirmation that you accept our Terms and Conditions with respect to the Property Rental & that a contract exists between for the rental of the property for the period requested. If the booking is made under eight weeks from the commencement of the rental period, we ask for the full rental plus the security deposit to secure the booking, and a receipted invoice will be posted.
2.2. The security deposit is to cover any damage to the property or its contents, or any unusual level of cleaning, or late departure from the property which adversely affects our ability to prepare the property for the next booking.
We would bring to your attention that Fawcett Mill, like most self catering holiday cottages, is let on the basis that the property is left at the end of the rental period, in the same condition it was found on arrival, with furniture left in the same position as on arrival, tableware, cutlery & kitchen utensils left clean & put away where found & all rubbish removed from the cottage & recycled as indicated by information displayed in the cottage. If damage, or the financial effects of significant late departure, exceeded the security deposit, we would seek the additional costs from you. Security deposits or balances of security deposits are returned by cheque within 10 days of the end of the rental period and we would also advise of our intent to with hold any part of the security deposit, and the reasons for doing so, within the same period if applicable .
3. WHAT YOU CAN EXPECT FROM US.
Fawcett Mill with working facilities as described in our sites on the Internet , in a clean condition, with permanent beds for up to 16 persons made up on arrival [we do not provide towels], and the equipment and facilities to allow you to self cater. In the event of a breakdown of a major appliance or service, the contact details of our locally based Manager who will endeavour to rectify a problem as quickly as possible
4. WHAT IS EXPECTED FROM YOU
To enjoy yourselves…..and
To respect that self catering holiday properties are let on the basis that they and their contents are left by you on departure in approximately the same condition as you expect to find them when you arrive, with the exception of floor cleaning, carpet vacuuming, dusting and bed making. It is expected that all cutlery, crockery and kitchen utensils are left clean and put away where you found them on arrival. Dish washers should be left empty. BBQs provided on the terrace should be left clean after use. Rubbish should be separated into bottles, tins & cardboard & taken offsite for recycling to the Tebay Recycling Centre, with ‘everything else’ put in the black bags provided and the black bags put in the wheelie bin at the entrance to the drive at the top of the hill. We ask that you close all windows and turn heating thermostats down prior to departure.
If we have agreed at time of booking that you can take a pets/pets [for which we charge a one off charge of £25 per pet to cover the extra cleaning], it is a condition that they do not get on the chairs, sofas, or beds; that they only use kitchenware and utensils that you have brought with you, and that they are kept on leads at all times when outside the property.

5. IF YOU ENCOUNTER A MAJOR PROBLEM OR HAVE A SIGNIFICANT COMPLAINT.
We very much hope you don’t, but if you do PLEASE advise us during your stay whilst you are still at the property. It is very difficult to deal with serious problems or complaints effectively & sympathetically which are received in retrospect after a rental is over! 6. WHAT HAPPENS ON CANCELLATION OF A BOOKING BY YOU.
Once we have received your deposit, a contract exists between us for you to pay the full rental cost for the period you have booked even if you have to cancel before the full balance is due. This is because there is only one Fawcett Mill, only one period of time you have chosen to book for, and once you make your booking, we show it as unavailable on all the websites we advertise on, & cease to offer it for your booked period to the many other enquiries we receive.
To assist you in a situation where you might have to cancel a booking, as soon as you advise us of this, we will show Fawcett Mill as available again for the period booked by you on the many websites we advertise on, and use our best endeavours to re let Fawcett Mill for your booked period. If we are successful in reletting, we will offset whatever rental we receive against the total period rental paid by or owed by you, less an administration fee of £100. If you cancel before the balance is due, the balance is still payable to us 8 weeks prior if a new booking has not been made. WE DO STRONGLY ADVISE THAT YOU TAKE OUT A SUITABLE HOLIDAY INSURANCE POLICY WHICH WILL COVER YOU FOR THIS in the event that we are unable to relet during that 8 weeks.
7. SUB LETTING. It is a specific condition of our rental contract that we do not allow sub letting or agency letting. Our rental contract is restricted to be between ourselves, The Operation Ltd, and booking guests intending to stay at the property. In the event that we find out that the property has been sublet by a booking third reletting to another party prior to the let commencing,a ny monies paid will be retained and the property will be made unavailable for the period booked. If we find out subsequent to a holiday rental that the cottage has been sublet & occupied by any other than the booking party, the security deposit will be forfeit.
